Grassroots Connected provides an affordable website product built specifically for grassroots football teams, with appropriate feature-related pricing as well as paid graphic design services.

What personal data we collect, why we collect it and who we share it with

Orders and Checkout

We collect information about you during the checkout process on our store or when purchasing/renewing a club website subscription in your admin panel or on the Grassroots Connected site.

While you visit our site, we’ll track:

  • Products you’ve viewed: we’ll use this to, for example, show you products you’ve recently viewed
  • Location, IP address and browser type: we’ll use this for purposes like estimating taxes and shipping
  • Shipping address: we’ll ask you to enter this so we can, for instance, estimate shipping before you place an order, and send you the order!

We’ll also use cookies to keep track of basket contents while you’re browsing our site.

When you purchase from us, we’ll ask you to provide information including your name, billing address, shipping address, email address, phone number, credit card/payment details and optional account information like username and password. We’ll use this information for purposes, such as, to:

  • Send you information about your account and order
  • Respond to your requests, including refunds and complaints
  • Process payments and prevent fraud
  • Set up your account for our store
  • Comply with any legal obligations we have, such as calculating taxes
  • Improve our store offerings
  • Send you marketing messages, if you choose to receive them

If you create an account, we will store your name, address, email and phone number, which will be used to populate the checkout for future orders.

We generally store information about you for as long as we need the information for the purposes for which we collect and use it, and we are not legally required to continue to keep it. For example, we will store order information for 5 years for tax, accounting and legal purposes. This includes your name, email address and billing and shipping addresses.

We will also store comments or reviews, if you choose to leave them.

Members of our team have access to the information you provide us. For example, both Administrators and Shop Managers can access:

  • Order information like what was purchased, when it was purchased and where it should be sent, and
  • Customer information like your name, email address, and billing and shipping information.

Our team members have access to this information to help fulfil orders, process refunds and support you.

We only share information with third parties who help us to fulfil our orders or subscriptions for you. We accept payments through Stripe – our secure third party payment processor. Some of your data will be automatically passed to Stripe, including information required to process or support the payment, such as the purchase total and billing information. Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

By leaving a comment on www.grassrootsconnected.co.uk you hereby agree to being contacted by a member of the Grassroots Connected team, if appropriate.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

We store user input data sent through the contact forms on this website, along with meta information about the submissions, including the time stamp, the origin IP address, and the user agent (browser).

The information submitted through our website’s contact forms is sent as email messages that only a select few are allowed to access. The information is also stored in the database on our hosting server for backup and later reference purposes.

If you want your information to be removed from our database, please contact us. We will remove it anytime there are concerns about your privacy. We reserve the right to retain data relating to transactions, orders and customers from the last five (5) years.

Generally, we collect the following information via our contact forms: your name, email address, phone number, which services you require or the subject matter relating to your communication, and your message. There may be additional fields for other contact forms. This information helps us better understand how we can assist you further.

Contacting Grassroots Connected? You should only contact Grassroots Connected and submit your data to contact forms hosted on www.grassrootsconnected.co.uk and not any other site. When contacting us through our web contact form, you agree to receive an email response relevant to your communication with us.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Social Sharing

We use a third party service called AddThis to power the social media sharing buttons found on articles and other pages on our club websites and other services provided by Grassroots Connected. AddThis data is collected online and may indirectly identify you. This information is required to deliver social sharing statistics to our publishers (clubs/leagues) and help our users understand how many times a specific page or site has been shared on any given social platform.

Information collected by AddThis may include:

  • unique IDs such as a cookie ID on your browser;
  • IP addresses and information derived from IP addresses, such as geographic location;
  • information about your device, such as browser, device type, operating system, the presence or use of ‘apps’, screen resolution, or the preferred language;
  • the date and time you visited a Publisher Site; and
  • the referring URL and the web search you used to locate and navigate to a Publisher Site.

We may associate personal information about you with interest segments or profiles as part of the provision of AddThis services to our customers and partners. “Interest segments” are a specific group of consumers that share a common behaviour or preference used for marketing by our customers. “Profiles” are a set of attributes about a specific consumer or device, or a set of multiple consumers or devices sharing common attributes used for marketing by our customers.

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

Grassroots Connected and any other affiliated services, like many other websites on the internet, use Google Analytics to measure the volume of web traffic coming to the website and behaviours whilst viewing the site.

Customer Support

For customer support purposes, we use an internet service operator called Tawk.to for email support tickets and website live chat requests on www.grassrootsconnected.co.uk.

Like most internet-service operators, Tawk.to collects non-personally identifying information of the sort that web browsers, apps and servers typically make available, such as the browser type, language preference, geographical location, referring site, and the date and time of each visitor request. Tawk.to’s purpose in collecting non-personally identifying information is to better understand how Tawk.to’s visitors use its services, and to provide Tawk.to users the ability to understand how their visitors use their services. From time to time, Tawk.to may release non-personally identifying information in the aggregate, e.g., by publishing a report on trends in the usage of its services.

tawk.to also collects potentially personally-identifying information like Internet Protocol (IP) addresses for users that use, interact and/or engage with its service, e.g. the web live chat facility on www.grassrootsconnected.co.uk or emails automatically generated as support tickets in the Tawk.to customer support system accessible by the Grassroots Connected team.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

How we protect your data

Grassroots Connected has implemented appropriate technical and organisational access measures designed to protect personal information against accidental or unlawful destruction or accidental loss, damage, alteration, unauthorised disclosure or access as well as all other forms of unlawful processing. From secure database passwords and regular random password resetting to firewalls, forcing web access over SSL to ensure login and other sensitive information is encrypted, and other implemented security features.
